Privacy Statement & Data Protection

I am registered with the ICO (Information Commissioners Office) which means that I need to tell you what data I am collecting from you and what I intend to do with it. You can read more about your rights at ico.org.uk/your-data-matters. If you contact me but then do not start any sessions, I will remove any data within 14 days of our last contact.

Data collected via this website

When you use this website, the only personal data that may be collected is:

  • Information you choose to send via email links
  • Basic technical data collected through analytics cookies (see Cookies section below)

No contact forms are used on this website.

Data Storage

Identifiable data – Your identifiable data captured on this form will be stored in a locked cabinet and destroyed by shredding one month after your counselling has ended. If your preferred method of contact is by phone or text, your number will be stored in my password-protected mobile phone using your initials. This will be deleted one month after your counselling has ended.

Non identifiable data – I have regular Clinical Supervision where I talk about my work and discuss anonymised session notes. Anonymised notes will be stored in a locked filing cabinet for a period of up to 7 years in line with the requirements of my insurance.

Website Email Enquiries

If you contact me via email through this website, your information will be used only to:

  • Respond to your enquiry
  • Manage communication relating to your request

Email correspondence is stored securely within Proton Mail and/or Stackmail (20i hosting) and is only retained for as long as necessary to respond to your enquiry. If you do not proceed as a client, your email data will normally be deleted within 3 months.

If you become a client, email information may be retained in line with the counselling data retention policy above.

Processing Data

Your data will never be actively shared except where required by law such as if my notes are subpoenaed by court, or if life or safety are seriously threatened, I may have to contact your GP or pass information on to the relevant authorities. Wherever possible I would discuss this with you beforehand.

Under the General Data Protection Regulation (GDPR), the lawful bases I rely on for processing this information are:
Your consent. You can remove your consent at any time by contacting myself (via my email address laurawilliamscounselling@protonmail.com) However, do note that I am obliged to keep my notes for up to 7 years from when our sessions end for insurance purposes.

You can ask me at any time to correct any mistakes there may be in the personal information I hold about you or any updates such as your name, email, phone number, emergency contacts, pronouns, etc.

You also have the right to request that I erase information about you, which I will do so to the furthest extent possible, allowing that I may need to retain some information about you to ensure that I am compliant with any legal requirements, or for the purposes of public safety or my own internal complaints processes. I keep minimal information about clients to carry out my work. I conduct regular audits of the data I collect and routinely delete emails, email addresses and text messages.

Confidentiality

The information shared in therapy is strictly confidential. The only time I will break confidentiality and share information about you, is if I believe you are at risk of harming yourself or others, and in compliance with the following acts: The Terrorism Act 2000; Drug Trafficking Act 1994, Proceeds of Crime Act 2002 or the Money Laundering Regulations 2007; Road Traffic Act 1991; the Children Act 1989; the Serious Crime Act 2007, and the Female Genital Mutilation Act 2003. I will endeavour to share my concerns with you prior to taking any action.

I do have my phone in the therapy space with me, however to try and avoid the device from picking up on information I have it set to airplane mode, I do not give any app permission to use microphone or be on in the background, and I use headphones for my sessions so if my phone were to pick up anything it would only be my side of our sessions. I do what I can to mitigate any information being processed, but with technology there is no 100% secure way so it is in my best efforts.
